Please note we require 1 person, to be based at County Hall North, Horsham. This is a full time position, requiring home and office working.

QUALIFICATIONS:
• Demonstrable experience of using administrative systems and practices.
• Good general knowledge of IT software and related systems / procedures.
• Competent note taking skills (electronic).

ROLE DEMANDS:
• The job requires concentrated mental attention over lengthy periods and prolonged concentrated sensory attention in order; to take minutes, word process documents, and prepare complex documents for distribution.
• The work will involve exposure to people or subject matter, which can place emotional or environmental demands on the job holder.
• The job requires extended periods of concentration in order to ensure work is completed accurately.

WORKING CONDITIONS:
• Consistent high use of IT equipment, sometimes over prolonged or lengthy periods to take notes; prepare complex documents or data or audio type.
• The role will include a requirement for sitting in a fixed position whilst taking notes at meetings.
• Travel across sites when necessary.

SKILLS:
• Competent note taking skills (electronic) including high levels of accuracy and speed for taking minutes of complex meetings.
• Competent administrative skills to deliver a flexible and efficient range of administrative support tasks to various safeguarding service areas, demonstrating an awareness of the Service Level Agreements.
• Act in an appropriate manner and with discretion, whilst hearing confidential, sensitive or disturbing information.
• Produce correspondence such as letters, reports, emails, minutes, presentations to a high standard of presentation, grammar, spelling and accuracy.
• Good communication and interpersonal skills in order to provide a polite and courteous ‘meet and greet’ service to meeting delegates including service users who may at times be distressed or angry; taking into account there may be barriers to understanding.
• The ability to organise, plan and meet own set targets whilst working in conjunction with colleagues to deliver the team objectives, within timescales.
• Good knowledge of a wide and varied range of IT software, such as Microsoft Word, Excel, Outlook, and administrative systems such as electronic diaries, filing and databases.
• Responsible for the care of, accuracy, confidentiality, security and maintenance of admin related manual and/or computerised information.
• Remains up to date and compliant with all relevant policies, procedures and systems in order to uphold standards of best practice associated with operating an administrative service.
