We are looking for an Executive Support Assistant to provide reliable, confidential and proactive administrative support to the Director Adults Services at Hackney Council. The successful candidate will be expected to cover the following duties: extensive diary and inbox management; taking accurate meeting notes; acting as a key interface between the Director and internal and external stakeholders; and to work collaboratively with the wider Executive Support Team, providing cover for colleagues as necessary.


SKILLS AND ABILITIES:
● Ability to plan, prioritise and organise workloads to meet deadlines and competing
demands.
● Excellent communication skills both written (correspondence, drafting reports) and
verbal (over the phone, liaising with colleagues and senior managers); able to work
well as a part of a team.
● Advanced ICT skills and the ability to use a range of computer software packages
including Microsoft Office and Google packages (Word, Excel, PowerPoint, Outlook,
Gmail and Google calendar).
● Adaptable and flexible: embraces change and adapts successfully to changing
situations and environments.
● Ability to take the initiative, anticipate the needs of the Director(s) supported and
deal with situations in their absence; delegate work on behalf of the Director(s)
supported to their senior managers.
● Ability to consider problems carefully and offer creative solutions.


EXPERIENCE AND KNOWLEDGE
● Experience of providing secretarial and high level administrative support to a Chief
Officer, Director or Senior Manager.
● A comprehensive working knowledge of secretarial and administrative systems
applied within a large, diverse and dynamic organisation.
● Knowledge of and interest in working in the Public sector, including knowledge of
the current policy issues affecting local government would be desirable, along with
an understanding of the following service areas: Adults and Public Health.
● Experience of attending high level meetings, taking accurate notes and recording
actions to ensure that any follow up work is pursued and monitored.
● Experience of dealing with highly sensitive and confidential issues.
● Experience of working with a range of ICT packages.
● Proven experience of providing a range of support services including diary and
inbox management, drafting letters, answering phones, dealing with a variety of
stakeholders (e.g. customers / clients / residents as well as senior managers and a
range of departments and organisations).
● Experience of working in a pressurised environment.
● Knowledge of the Council’s Equal Opportunities Policy and its implementation in
policies, practices and procedures.
● Experience of dealing with elected representatives.
