To provide project and programme management support to the Council’s elections Board and electoral services team. To provide administrative support to the Head of Electoral Services and other key officers delivering elections and electoral registration.

This role is required to provide support to the Head of Electoral Services in the lead up to the Mayor of London and London Assembly Elections in May 2024. Post-election activity means this role will be needed until the end of June 2024 at the earliest.

A general election must be called no later than January 2025. If this has not been announced by June 2024, it is likely that this role will be extended until after the general election.

1.         To prepare, maintain and use project management methodologies and templates to provide support to the delivery of elections projects.

Main duties and responsibilities:

Systems & Finance Assistant  – Main Responsibilities & Duties

MAJOR PURPOSE OF POST:

•          To develop and maintain strong relationships with partner agencies, such as Health, Education, Police, Housing and others, to ensure an effective resource for the provision of information for the Department and service users.

•          To work as part of a multi-agency team and promote an integrated approach to the provision of information and signposting to the correct services.

•          To photocopy, scan, collate, print and distribute documents or materials as required. This includes outcome letters to referrers and parents.

•          To provide basic and more complex project management support as requested.

•          To ensure that highly sensitive and confidential information is dealt with appropriately and the services are delivered in accordance with the Data Protection Act 1998 and the General Data Protection Regulations (GDPR) 2018.

•          To work flexibly to provide cover for colleagues as required.

The successful applicant will have responsibility for providing business support for the team including: supporting the team with Sefton Liquid Logic database, typing, telephone duties, co-ordinating the gathering of information from other agencies to support the manager and any other admin duties within the team. Excellent communication and interpersonal skills are essential.  IT skills and operational skills in the use of Liquid Logic.  The role requires the ability to work under pressure in a team setting.  A flexible approach is necessary”

1.         Undertake ICT based tasks including the production of letters, reports, schedules, uploading information and data inputting onto children’s records etc.

2.         Provide clerical support, e.g. reprographics, photocopying, filing, emailing, faxing and completing routine forms.

3.         Maintain manual and computerised records and/or management information systems.

4.         Sorting and distributing the internal and external mail.

5.         Undertake reception duties, answering routine telephone and face-to-face enquiries and signing visitors in and out.

6.         Assisting with arrangements for meetings, booking rooms, sending invitations.

7.         Take notes in meetings as required.

8.         Operate office equipment e.g. computer, photocopier etc. in accordance with manufacturer’s instructions.
