You will act as the first point of contact for all enquiries relating to Heads of Service actively managing diary appointments, emails, phone calls and paperwork.
You will be liaising with internal and external partners of all levels daily on the behalf of the Heads of Service including contact with members and colleagues from different departments and organisations.
You will work without close supervision in a flexible, outcomes-based manner using mobile technology to work remotely. This includes having an information security and governance mindset.
You will exercise strict confidentiality dealing with sensitive matters including using systems to log relevant information.
You will be able to draft and send communications on the behalf of Head of Services as required, using strong IT and literacy skills, take minutes for meetings as appropriate.
In the role you will assist the Head of Service and team managers with the collation and organisation of service information on personnel, plans, processes, and performance.
The role requires that you provide all other PA support services to the Heads of Service as required, remaining flexible and responsive daily.

PURPOSE OF THE JOB:
The Health Protection Practitioner role is designed to promote the work of the council’s Public Health team within the local community.
In respect of Covid-19, they are responsible for:

Enable a seamless testing/public engagement process, ensuring that the public experience is pleasant and managed in a professional way
Be versatile throughout Testing roles including, Registration, Queue Support, Test Operative, Test Assistant, Results Recorder (training provided)
Be verstitle throughout Community Collect roles including, Collection Point Assistant and Queue Coordinator (training provided)
Participate and support any required promotional activity by going out into the community to help educate and promote the importance of testing and vaccinations
Support any emergency surge testing operations, mass event testing and similar scalable projects at short notice, should deployment be required
Proactively support general operational setup and breakdown of operations
Communicate to test participants the purpose of participating in testing the testing journey
Support and assist the community with safe Covid-19 testing, providing additional verbal instructions and demonstration on swabbing practices, if required
Supporting community members with testing related digital requirements, including registering tests and recording results
Provide additional assistance for people who might not have the relevant digital information or digital capabilities
Prepare test samples for analysis and interpret results
Collate test result data to share via digital submission processes
Ensure crowd control and social distancing is maintained during all operations
Adhere to PPE and safe Covid-19 practices to maintain personal and team safety, and demonstrate ideal practices to the community
Advise community members of symptoms of Covid-19 and what to do on receipt of positive test results

Job Purpose:
To provide a first point of contact for students, staff and visitors, ensuring all Estate Services Helpdesk, Car Parking and Contractor Management queries are resolved by utilising the Computer Aided Facilities Management (CAFM) and Bookings software.
Provide administrative support to the Estate Services Teams To assist in the safe management of contractors.

This role is purely for minute taking and database entry only (Liquid Logic.)
The candidate must have a minimum typing speed of 60 wpm and a typing test will need to be taken (this will be provided after a brief telephone interview.) The candidate should ideally have experience of minute-taking in any setting.
The type of minutes they will be taking are sensitive and confidential, so adhering to GDPR is crucial. They will minute Core Group meetings (children subject to a child protection plan) and Chid-In-Need meetings (children subject to child-in-need plan.) Once the minutes are completed, they are to be entered onto the child’s record and recorded on an Excel spreadsheet, therefore Excel experience and some database navigation experience would be preferable but training will be given.
Meetings can last up to 2 hours, and the expectation is that the candidate completes between 2-3 meetings per day. The turnaround is 2 working days, therefore fast and accurate typing speed is essential.
All meetings are virtual (Skype or Teams.) The candidate would work in the office for a short while whilst training is given, then they will be working from home.
The candidate will need to have good communication skills and be able to ask for help as teamwork is key. Strong prioritisation of workload is needed.

- Purpose of the Job:
To support in leading and managing in the provision of high-quality administration and systems, that support Children’s Services. Ensure that all aspects of the administration service are managed and assist in establishing joint working across the teams and services. Line manage the Business Support staff and manage the statutory central administrative systems and procedures, ensuring implementation to deliver effective and quality support to Children’s Services, providing core and nuanced support.
Be responsible for the day to day oversight of the administration of the systems and processes, such as KPIs and service performance. - Manage and prioritise the work within the administration team in support of managers and teams. Ensure business needs pertaining to Business Support are met and that performance management indicators are achieved and recorded for BSO staff. Ensure that business objectives are upheld, and that administrative staff support for teams is time-conscious, relevant, and appropriate.
- Ensure work output is in line with compliance, relating to legislation, policy and procedures. This includes: Performance; Learning and Development; PDPs/Appraisals; HR-related functions; Absence (Sickness/Annual Leave) and Recruitment.
- Work closely with the Head of Service, Service Manager and other Managers to ensure appropriate administration of business needs and requests.
- Liaise with internal and external bodies, dealing with enquiries and initiating action where necessary and refer when appropriate.
- Support the Head of Service and Team Managers with staffing (recruitment and interviews) and business-related areas (administration management and business performance data analysis).
- Apply the necessary timescales and protocols for completion of meeting minutes, correspondence relating to statutory meetings, maintaining all related data entries to the electronic record system relating to statutory functions regarding the central administration service and complaints meetings for children and their families.
- Undertake the responsibility for the management of the general running of the office (i.e. equipment, stationary inventory) and plan and arrange inductions and IT for new staff, following the corporate and service-specific induction procedures.
- Work in partnership with other administration staff throughout the division to ensure consistency, efficiency and quality.
- Develop, monitor and review systems in accordance with service needs across a range of areas, to ensure good practice is being adhered to.
