Interim cover is required for the role of PA to the Director of Legal and Governance Services. This is a busy and demanding role which requires extensive diary and inbox management. The postholder must have advanced skills in computer applications preferably in using G Suite Applications but if not then must have advanced experience in the use of Microsoft word, Outlook and powerpoint in order to get to grips with using Google Docs, Gmail and Google Sheets quickly. LBH has moved from Microsoft to G Suite
The postholder will be liaising with Senior Directors and political members and should have excellent relationship management and customer care skills.
Additional admin duties will be required as and when requested by the Director and/or Business Development Manager.
To supervise the secretarial staff in Legal Services to ensure the provision of a high quality, confidential and proactive secretarial support service feeearners in Legal Services

Image To be responsible for the development, management and maintenance of systems and processes to support the provision of effective and efficient services and continuous service improvement.


Duties and Responsibilities
1 . To ensure the efficient and effective provision of high quality legal secretarial services to all fee-earners in Legal Services.

  1. To organise the work of the Support Services Team so as to maximise efficiency, maintain cover at all times and provide a rapid responsive service to fee earners.
  2. To manage secretarial staff within a performance management framework, setting and monitoring targets and workplans.
  3. To be responsible for identifying training needs for secretarial staff and training to meet those needs.

  4. Education and experience
    Image BTEC Higher National Certificate or equivalent.
    Image Experience of providing high quality personal administrative and Secretarial Support.
    ⦁ Experience of managing staff to achieve pre-determined outcomes
    ⦁ Experience of managing within a performance management framework
    ⦁ Experience of developing and implementing office systems and procedures Image Experience of prioritising own work and work of others to meet tight and immutable deadlines
    ⦁ Experience of working on own initiative
    ⦁ Experience of setting up and administering office systems and procedures Image Proven experience of providing a range of support services including diary management, drafting letters and reports of behalf of managers filing and photocopying.
    Image Experience of organising and minuting meetings
    ⦁ Experience of maintaining diaries
    ⦁ Experience of dealing with correspondence. Image Experience of preparing bundles of documents Image Experience of photocopying and filing

  5. Knowledge
    Image An understanding of support to fee-earners in a modern legal practice ImageImage Knowledge of quality assurance systems within a legal practice in particular
    LEXCEL.
    ImageA knowledge and understanding of best practice in a legal practice
    ⦁ Knowledge of computer packages and an understanding of how ICT can contribute to the effectiveness of a legal service Image An understanding of effective team work
